Employee Company Email Policy
This policy explains how DreemTeem Home Care company email accounts are created, used, secured, and managed.

DreemTeem Home Care may provide employees, contractors, administrators, caregivers, and other authorized personnel with individual company email accounts for legitimate business purposes.
Where Gmail is being used, the company may use a consistent naming convention such as:
firstname.lastname.dreemteem@gmail.com
As the company grows, DreemTeem Home Care may transition to company-managed email addresses using its business domain.
Company email accounts are intended primarily for DreemTeem Home Care business communications and activities.
Employees should use their assigned company email for business-related communications whenever a company account is available.
Employees are responsible for protecting their company email credentials. Employees must:
- • Keep passwords confidential
- • Never share passwords
- • Use strong passwords
- • Use multi-factor authentication when available
- • Report suspected account compromise immediately
- • Avoid logging into company accounts on unsecured or shared devices
Employees must protect confidential DreemTeem Home Care information when using company email. This may include:
- • Client information
- • Employee information
- • Personally identifiable information
- • Protected health information
- • Medical information
- • Insurance information
- • Financial information
- • Scheduling information
- • Internal business information
- • Credentials and passwords
Company email must not be used to transmit protected health information or other sensitive client information unless the email system and communication method have been specifically approved and appropriately configured by DreemTeem Home Care for that purpose.
Employees must not send sensitive client information through personal email accounts.
If an employee is uncertain whether information may be sent electronically, they should contact management before sending it.
Company email must be used professionally and respectfully. Employees must not use company email for:
- • Harassment
- • Threats
- • Discriminatory communications
- • Offensive material
- • Illegal activity
- • Unauthorized solicitation
- • Fraud
- • Misrepresentation of DreemTeem Home Care
- • Unauthorized disclosure of confidential information
Employees should not use company email accounts for personal business unrelated to DreemTeem Home Care.
Employees should not intentionally use personal email accounts to bypass company security, privacy, or recordkeeping requirements.
Company email accounts created for DreemTeem Home Care business purposes are company-controlled resources.
To the extent permitted by applicable law, DreemTeem Home Care may manage, suspend, disable, preserve, or otherwise administer company email accounts when reasonably necessary for legitimate business, security, legal, compliance, or operational purposes.
When an employee leaves DreemTeem Home Care or no longer requires access, the company may disable the company email account and preserve business records as appropriate.
Former employees are not authorized to continue accessing company email after their authorization has ended.
Employees should be alert for:
- • Phishing emails
- • Suspicious links
- • Suspicious attachments
- • Fake login pages
- • Password requests
- • Fraudulent invoices
- • Impersonation attempts
- • Malware
- • Social engineering
Suspected security incidents should be reported to management immediately.
Violations of this policy may result in disciplinary action, loss of email/system access, termination of employment or authorization, or other appropriate action consistent with company policy and applicable law.
